The aim of this note is to advise parents of the present procedures for notifying you of cancellations.
There is no doubt that our Saturday morning footie is the highlight of the week for many of our junior members. For that reason we do sometimes try to leave it as late as possible before making a decision.
However, there have been occasions this year when the weather has been so bad that we have cancelled on a Friday night to give everyone an opportunity to make alternative arrangements.
Where there is a chance of the football being on, we will normally carry out a pitch inspection around 0830. If we feel the pitches are fine then no further action is required and the coaches go ahead setting up as usual. However, in the event of having to cancel, I am normally advised asap. My first action is to place a notice on the website and to liaise with Mark Holden, our membership secretary, in respect of issuing an email to those parents for whom we have an email address. Normally Mark would do this, but if he is not around, then I would send out the emails using the latest list that I have.
Hopefully between posting on the website and issuing of emails, we manage to contact most parents.
The aim is to try and get a notice on the website by 0900 latest, so please check before leaving home.
We are in the process of building a member database to facilitate communication with parents of our junior members. The collection and ongoing maintenance of this data can be quite a daunting task and does take time, so please bear with us.
If you have an email address and are not receiving notification of Saturday morning cancellations then do please let Mark know. Providing us with an email address is our best way of keeping you in touch with what's happening at the club. Email addresses and other information supplied on our club membership forms is retained on our database. No information is provided to external third parties. Chipstead FC is registered under the Data Protection Act.
